Many families begin reflecting on their experience at this stage when other students are sharing their college application results, especially if younger siblings will enter the process soon. One question we hear often:

“What actually makes a great college counselor?”

The answer matters. You are trusting someone with your child’s future—a child you’ve invested in emotionally, financially, and academically for years. A great counselor brings clarity, structure, and confidence. The wrong one can create confusion, stress, or missed opportunities.

Here’s what truly distinguishes the best college counselors.

1. Great Counselors Prioritize Ethics and Boundaries

A qualified counselor:

  • Does not write essays for students

  • Does not promise admissions outcomes

  • Supports the student’s authentic voice

  • Helps teens make informed and confident choices

Ethical decision-making is foundational. Many professional counselors pursue additional training through organizations like HECA/IECA/NACAC or platforms like CounselMore.com to stay current and accountable.

2. Great Counselors Use Systems That Support Accountability and Progress

College admissions is timeline-driven and detail-heavy. It requires:

  • Task tracking (we have assignments in our CounselMore program that explain things and are timely)

  • Shared communication tools (we send texts and emails to remind students of to-dos)

  • Real-time data (wonder if you can get in? Our college data is the best and most current)

  • Structured planning (our application tracker keeps kids on the path and they don’t miss deadlines)

  • Transparency (parents can see everything every step of the way and be as involved/or not involved as they like)

Counselors using tools like CounselMore help students stay organized and prepared without relying on scattered emails or last-minute reminders. If the counselor’s “system” is: “Just call me when you need me,” that’s not structure—that’s reaction. We have our students book their own meetings, but we have a cadence to the timing of these as well as quarterly ROUND UPS to remind everyone where they need to be in the process0.

Strategy, not chaos.

3. Great Counselors Provide Strategy—Not Just Reminders

A strong counselor zooms out to see the full admissions landscape, then zooms in to build a personalized plan for each student. They know:

  • What each application requires

  • Which deadlines matter most

  • How to guide major selection

  • How to craft a compelling application story

  • How to build a balanced college list

  • How to maximize scholarships and financial fit

They help students answer the hardest question of all:
“What’s next for me?”

And they support parents through the financial and emotional side of the journey, too.

🚩 3 Red Flags in a College Counselor You Should Not Ignore

🚩 1. They Promise Admissions Outcomes

If a counselor says:

  • “I can get your student into ___,”

  • “We guarantee acceptance,” or

  • “We have a special relationship with Admissions”…

Run.
No one, not counselors, not teachers, not alumni, can guarantee admission to any college. Ethical counselors guide, support, and strengthen your student’s application, but they never make promises they can’t control. ACC leads with data and helps you find the right schools academically, socially, geographically and financially.

🚩 2. Their “System” Is Just… Chaos

A counselor who manages the entire process through scattered texts, untracked emails, or a “call me when you need something” approach is not using a system—they’re improvising. College admissions requires:

  • Deadlines

  • Task tracking

  • Document organization

  • Data-informed decisions

If they don’t use a professional platform (like CounselMore) or can’t clearly explain their process, your student is at risk of missed deadlines and unnecessary stress.

🚩 3. They do not ask to meet your student

No one wants to work with someone the don’t CLICK with.

Personally, I think this is one of the top priorities – match the student with the correct counselor. We do that! We have 4 team members and access to over 1000 other college consultants that may specialize in exactly what you need.
